Baw Baw Shire Council Planning Department offers a range of pre-application meeting types depending on your proposal to assist with understanding the planning process, the documents required and breakdown complex issues prior to lodging an application. 

Why do a Pre-Application Meeting?

Pre-application meetings are a beneficial way to assist applicants in understanding the planning process, identify potential design issues early, ask questions about the process including Council’s expectations, check your application has all the necessary information and minimise time required to process your application once lodged.

When Lodging

When lodging your pre-application meeting request please ensure you complete the application form and address the checklist requirements below to enable a meeting time to be arranged by the allocated planner.

Please ensure you select which pre-application meeting you would like and specify if you would like this to occur in person or virtually on the application form.

If you require further information about which pre-application meeting type would be appropriate for your proposal, please contact the Planning Department on 03 5624 2411. 

Checklist

  • Full Set of Plans (Site, Ground and Elevation Plans).
  • Full Copy of Title (inc. Section 173’s, Covenants and/or Restrictions (no older than 60 days) for each individual parcel of land forming the subject site.
  • Arborist Report/Letter (if vegetation is proposed to be removed).
  • Covering Letter summarising proposal, if use is proposed the letter must include proposed operation hours, patron numbers, staff numbers, proposed waste management.
  • Heritage Letter (if the proposal is in the Heritage Overlay).
  • Flood Mitigation Measures (if the proposal is in the Land Subject to Inundation Overlay or Floodway Overlay, or a site that is identified as being subject to flooding).

Pre-Application Meeting Types

Pre-Application Type Classification of Proposals Service Provided 

Basic
Pre-App

$218.40

Basic Pre-Apps are for the following application types:

  • Development of an Outbuilding
    2 Lot Subdivision
  • Development of 1-2 Dwellings on a Lot
  • Development of a Replacement Dwelling
  • Use and Development of a Dwelling
  • Works to a Dwelling in a HO
    Extension to a Dwelling
  • Removal of Vegetation
  • Use of the Land. 
In person meeting (allocated planner) and summary letter provided within 7 business days from meeting.

 

Intermediate
Pre-App

$300.00

Intermediate Pre-Apps include the attendance of internal departments in the meeting such as Engineering or Public Health or if you are proposing any of the following application types:

  • Development of 3-9 Dwellings on a Lot
  • 3-9 Lot Subdivision
  • Buildings and Works to a Building in the HO.
In person meeting (allocated planner and relevant internal department/s) and summary letter provided within 10 business days from meeting which includes all internal department requirements based on documentation submitted. 
Advanced 
Pre-App

$400.00

Advanced Pre-Apps are for the following application types:

  • Development of 10+ Dwellings on a Lot
  • 10+ Lot Subdivision
  •  Use and Development with an estimated cost of works under $2 million.  
In person meeting (allocated planner and relevant internal department/s) and summary letter provided within 14 business days from meeting which includes all internal department requirements based on documentation submitted. 

 

Complex

Pre-App
 
$500.00

 

Complex Pre-Apps are for the following application types:

  • Development of 10+ Dwellings on a Lot, 10+ Lot Subdivision
  • Use and Development with an estimated cost of works $2 million and over
  • OR if you wish to have an external authority present in the meeting for any of the above proposal types.
In person meeting (allocated planner and relevant internal and external department/s) and summary letter provided within 20 business days from meeting which includes all internal and external department requirements based on documentation submitted.

Please Note: The specific referral bodies will be dependent on factors such as the proposed activities and the location of the applicable property. Applicants are encouraged to familiarise themselves with potential referral bodies.
